Natural Retreats is hiring an Accounts Payable Specialist to join our Finance team! This individual is responsible for assigning invoices to the appropriate approver across various locations and departments. They will also assist other team members as needed in the weekly payment deadlines and accurately maintain all vendor files including W9 payment details provided by vendors.

The ideal candidate will have a proven track record of meeting weekly invoicing processing and payment deadlines. 
This is a hybrid position that requires 2-4 days of in-office work in the Charlottesville, VA office each month.

ESSENTIAL FUNCTIONS:

  • Assign invoices utilizing Concur software to distribute invoices to appropriate approver.
  • Monitor flow of invoices at various states within the Concur system.
  • Verify the accuracy of vendor invoices and confirm that the correct general ledger account codes are used. 
  • Process weekly vendor payment batches and monthly owner payments for multiple locations. 
  • Communicate with vendors regarding invoice submittal and payments.
  • Maintain vendor records including changes to W9 and communicate changes with Accounts Payable Supervisor. 
  • Adhere to Natural Retreats outlined policy in regard to fraud prevention. 
  • Perform vendor statement reconciliations. 
  • Perform yearly 1099 reconciliations from vendors and owners. 
  • Maintain multiple shared Outlook inboxes

EXPERIENCE AND SKILLS:

REQUIRED 

  • Minimum of 5 years of experience in accounts payable
  • Knowledge of basic bookkeeping and procedures
  • Proficiency with computerized accounting systems, preferably NetSuite or Great Plains
  • Proficiency with Microsoft Excel and Word
  • Proficiency in written and verbal communications to multiple stakeholders both internally and externally
  • Ability to manage a high volumn of email correspondence and prioritize required outcomes to meet deadlines in a fast paced environment demonstrated by the following:
    • Keen attention to details
    • Advanced organizational skills
    • Ability to follow up on outstanding needs
  • Ability to pass pre-employment testing which may include drug testing and/or background screening

PREFERRED
  • Experience in NetSuite, Great Plains and/or Concur Systems
  • Self starter with the ability to "make it happen" and thrive in a high energy, collaborative environment
  • Positive, "can do" approach 
 

POSITION TYPE/EXPECTED HOURS OF WORK 

This is a full-time position. The core business hours for this position are 9 AM - 6 PM EST, Monday through Friday. Occasionally, project work or other responsibilities may require the Team Member to work outside of this schedule; therefore, the Team Member will be expected to be flexible.
